This is our Onboarding Checklist! This guide is designed to ensure that you, have all the steps and tools at your disposal for smoothly integrating new team members into our ecosystem. Here’s how to navigate the onboarding process from the moment a new hire decision is made:

Step 1: Initial Documentation and Form Submission As soon as a candidate accepts their offer, direct them to fill out our initial onboarding form here. This collects essential details for further processing.

Step 2: Compensation Details Communicate the new hire’s compensation details, including hourly rate or salary and benefits package, via email. Ensure this communication is clear and contains all necessary details for full transparency.

Step 3: Contractual Agreements Draft a contract outlining the new hire’s role, responsibilities, and other pertinent details for their position. Send this for their signature to formalize their employment.

Step 4: Payroll Setup Guide new team members through setting up their payroll details in Gusto. This is crucial for ensuring a smooth process for their first payment cycle.

Step 5: Technical Setups and Access

  • Email and Slack: Set up their Classic City email account and grant them access to Slack, including the #general channel. Additional channel access should be provided based on their role and project involvement.
  • Time Tracking: Provide them access to Harvest for logging hours, and ensure they are assigned to the correct projects.
  • Project Management Tools: Add them to relevant Asana projects and tasks or to the workspace for future assignment.

Step 6: Onboarding Meeting Scheduling Ensure new team members are added to the next onboarding meeting, held on the first Monday of the month following their hire. These sessions are critical for addressing any questions and providing a comprehensive overview of our operations.

Step 7: Operations Site Access Provide the link and password to the operations site, offering them a resource to explore and answer potential questions ahead of their onboarding session.

Additional Information:

  • Slack Integration: Remember to include new hires in our Slack workspace, assigning them to #general and other relevant channels as needed.
  • Onboarding Session Details: These meetings, lasting between 30 minutes to an hour, are essential for acquainting new team members with our processes, tools, and answering any preliminary questions.

Support and Questions: All onboarding and payroll inquiries should be directed to our operations team, who will handle these aspects meticulously.
