Congratulations! Another successful sale means we’re about to kick off another great project at Classic City. To ensure everything runs smoothly from the get-go, here’s our step-by-step guide on drafting and dispatching contracts, keeping clarity and compliance at the heart of our operations.
Initiating the Contract:
- Once a sale is sealed, the salesperson springs into action, filling out the Contract Form right here. Essential info includes the client’s legal name and address, project Scope of Work (SOW), and the cost.
- Missing the client’s legal address? No sweat. With their legal name in hand, we can sleuth it out via any state’s Secretary of State business search.
Drafting the Contract:
- Jump into Panda Doc, where our contract templates are primed and ready. Simply pop in the client’s legal names and email, then pick the template that fits the bill: Project, Hourly, or Retainer.
- For project clients, we need the sales team to provide a crystal-clear SOW, detailing client requirements against the services we’ll deliver, including QA rounds and policies. While we don’t need a timeline set in stone, expectations must be crystal clear to avoid any mix-ups.
- Hourly clients? Confirm their rate and tweak Appendix B to cover the services we’re rendering. If our template’s services don’t match up, draft a description of the requested hourly work and get the thumbs up from sales.
- With retainer clients, ensure all monthly tasks are listed in the Appendix. Double-check with sales for alignment with client expectations and with our development or design teams to ensure feasibility.
- Remember, Appendix A houses the SOW, while Appendix B tackles the billing details.
Sending the Contract:
- Once your contract is Panda Doc-ready, ping the client—courtesy of their sales contact or the drafter—to keep an eye on their inbox.
- Signatures come from Christopher LaFay or Dawn Audano. Dawn’s your go-to for most contracts, but when in doubt, just shout!
