We have created a structure for collecting content from clients for simple, marketing websites. This should be our default way to collect content, unless there is a specific case that requires a different methodology.
Setting It Up
- Open the Client’s folder in the main Clients directory in Google Drive (don’t do this in your own Google Drive setup. If you do not have access to this folder, request access from Dawn, Steve, Chris, or Daniel).
- Create a new subfolder called Content_CP_External (where you replace CP with the prefix of the client)
- Inside Content_CP create:
- Folder: Assets_CP
- Open up this template and duplicate the file into the Content_CP_External folder and call it ContentDoc_CP
Share access to the Content_CP folder with the client (and team members) and email the client the instructions on how to use this setup.
Emailing the Client Access and Info
Hello {{name}},
As we spoke on our last call, the next step is to start organizing your content. We’ve created a simple system for you that will reduce the quantity of emails going back and forth, and thus, less things dropping through the cracks.
I just shared a Google Drive folder called Content_{{CLIENTPREFIX}}. In this folder, you’ll see two items:
- A Document called ContentDoc
- Folder called Assets
Open up the ContentDoc and that’s where you will begin writing all your content. I have went through the site we have started building and have made an outline for each page in your sitemap. As you scroll through the ContentDoc, you’ll see each page listed out as a header. Below each header, you’ll notice an outline that follows the exact structure of that page on your sample site.
All you need to do is start filling out the blanks!
As you’re going through the document, you’ll run into places that need an image. Rather than having to email us a slew of images, you can:
- Upload that image (or document) to the Assets folder.
- Inside of the ContentDoc, just reference the name of the file you just uploaded
